Facility Specialist, Columbus, Ohio

The Facility Specialist will overseethe repairs, maintenance and management of department matters that are lease required, time sensitive or vendor trade specific, which require high visibility or expertise in knowledge; including, but not limited to, ADA compliancy, lease interpretation support, city and local municipality violations, pest control, sprinkler, backflow and vendor management. Supports the Facility Manager with special projects as requested.

1. Interprets the lease and other controlling documents, provides verbal and written notifications to landlords for various maintenance issues; monitors progress and contracts work for any unresolved issues; collects reimbursement from landlords and other parties for repairs completed on their behalf.

2. Manages and resolves issues that are received via phone calls and e-mails from field personnel, landlords, contractors for assigned locations.

3. Acts as a liaison between the stores and pest providers. Manages the pest control account and the pest “critical” list of locations that need pest services more than monthly. Ensures that stores and service providers are held to our Pest Best Practices.

4. Manages all store facility issue for a portfolio of locations. Ensures new store warranty work is expedited so expenses are not incurred. Works directly with contractors to make decisions on what work should be done. Accepts, amends, rescinds and finalizes quotes. Follow up on progress to completion, and communicates the status of work to the stores and field leadership throughout the completion of the work.

5. Oversees deferred maintenance or special projects for all stores. Responsible for investigating need, procuring bids, awarding approvals, and tracking progress to completion.

6. Manages, and resolves all violations from various governmental authorities. Acts as the liaison between local counsel and the stores on ADA compliancy for all violations.

7. Manages and resolves all storage container violations and defaults to ensure lease and local municipality compliance.

8. Participates in the emergency on-call rotation and is required to be available after hours and on weekends during emergencies.


1. 1-3 years experience in property management, facility maintenance or related field required.

2. College degree preferred.

3. Excellent customer service skills required.

4. Supplier/Vendor relations experience preferred.

5. Proficiency in spreadsheets and word-processing required with experience in Microsoft Office.

6. Strong oral, written communication and organization skills required.

7. Strong negotiation and dispute resolution skills required.

8. Ability to work in a team environment and independently with strong interpersonal, problem-solving, and prioritization skills required.

9. Ability to handle multiple time sensitive projects timely to completion.

10. Some travel is required.
